Project & Ops Manager (Marketing & Operations)

Overview

The Project & Ops Manager will work directly with our CEO, Brian, to keep SGI’s portfolio of brands operating smoothly on a day-to-day basis.

About the Role

In this role, you will manage the operational backbone of SGI: Hiring and onboarding, financial coordination, payroll, process improvement, and team communications.

Every day will look a little different, but your North Star will always be efficiency and effectiveness (the two are not the same), and clear communication.

This is an essential hire for our CEO – you will free him from the day-to-day operations of SGI, thus opening up his time and attention to focus on new ventures. You’ll achieve this by keeping SGI running smoothly, solving problems before they escalate, and ensuring that the right tasks are completed on time.

Responsibilities:

– Oversee daily marketing and operations initiatives to ensure everything runs smoothly across six brands and a distributed team of 25 people spanning three continents and seven time zones.

– Stay proactively informed using asynchronous communication tools, solving issues so that Brian doesn’t have to. Bonus points if he doesn’t even know about them.

– Identify weaknesses or bottlenecks early, jump in to help team members solve problems, and communicate clear next steps to keep initiatives moving forward.

– Build, document, and optimize systems to streamline both existing and new business functions.

– Assist with onboarding and offboarding team members to ensure smooth transitions for new hires and contractors.

Our Ideal Candidate

You’re a clear written communicator who can translate complex or complicated ideas (again, the two are not the same) into actionable steps. You’re assertive, organized, and confident in taking initiative – and humble enough to listen, learn, and adapt when given feedback.

You know how to lead when needed, whether that means guiding a teammate through a challenge or stepping in to keep a project on track. You’re the go-to person whom others turn to when something is stuck, because you bring clarity and a sense of calm.

You’re also tech-savvy and curious about new tools. You’re comfortable experimenting with AI, automation, and marketing technology to make workflows faster and smarter.

You have at least 3+ years of experience working as a Project Manager or an Executive Assistant, you are located in CEST timezone, and you are able to work full-time.

Additional extra points if you have experience with any of the following tools: ClickUp, Slack, and Google Suite. Don’t forget to mention them in your application.
